Are you tired of sending the same email over and over again? Microsoft Outlook offers a solution to save time and effort by creating reusable email templates. The process varies depending on which version of Outlook you're using, but we'll guide you through both classic and new Outlook methods.
In classic Outlook, you can create an OFT template to save frequently sent emails. To start, compose your message with a subject line and body text, then click File > Save As and select Outlook Template (.oft) as the file type. You can save the template in a separate folder for easier organization.
When you need to use the template later, click New Items > More Items > Choose Form in the Home ribbon. Select the Templates in File System option and browse to the folder containing your OFT template. Click OK, select the template file, and click Open. Alternatively, you can double-click the OFT file in File Explorer to load it directly into Outlook.
The new Outlook also supports OFT templates, but the process is slightly different. To create a template, fill in the Add Subject field and the text box, then select Mail Template > Save Email as Template from the Message ribbon. Give the template a name and select Save. Your saved templates are stored with the account you're using to compose the email and can be accessed from that account in Outlook on the web.
For creating and managing reusable messages, Microsoft recommends using Mail Templates or My Templates. You can also create templates using the My Templates add-in, which allows you to add a title and message, then select Save. This feature is available from the Message ribbon, where you can select My Templates, choose +Template, and follow the prompts.
