If you find the “one-touch” rule insufficient, particularly with emails demanding more considered responses, transition to a “two-touch” system. The first touch remains the same: open the email immediately.

During this initial opening, determine if a response is required now or can be deferred until later in the week. Utilize your email provider’s flagging or snooze features to categorize these deferred messages for easy retrieval.

The key is to avoid letting emails accumulate. Opening them promptly, even if only to categorize them, prevents the overwhelming feeling of a perpetually growing inbox. It’s about creating mental space and reducing anxiety.

Schedule dedicated time each week to address these flagged messages. Integrate it into your task management system – perhaps as one of three smaller tasks – ensuring they don’t fall into the abyss of forgotten obligations.

By consistently applying either the “one-touch” or “two-touch” rule, you transform your inbox from a source of stress into a manageable component of your workday, reclaiming valuable time and focus.
